Indexing may be as simple as keeping track of unique document identifiers; but often it takes a more complex form, providing classification through the documents' metadata or even through word indexes extracted from the documents' contents.

The custom quotes for Scanning and Indexing services are tailored to accommodate your specific needs and circumstances. With each quote request, we make an assessment taking into consideration the quantity and complexity of the work and turn-around-time required. On the basis of this, we offer a custom quote. E-Records Management Solutions

Effective Electronic Document and Records Management (EDRM) is a key enabler for efficient working in many organisations – in fact, it’s becoming a business imperative for good governance over information.

We help organisations through the implications of EDRM.  Everyone in the organisation can create, store and retrieve and use records as easily as if they had been on their personal hard drive. Locating and sharing records is possible in seconds – not minutes, hours or days, all managed by the company's security policy and business rules.

Lila’s EDRM services can bring significant benefits to an organisation by simply providing the right data to the right system or individual as it is required.

Following are the processes involved in EDRM :

  • Retrieval : Retrieval in the electronic context can be quite powerful. Simple retrieval of individual documents are supported by allowing the user to specify the unique document identifier, and having the system use the basic index to retrieve the document. More flexible retrieval allows the user to specify partial search terms involving the document contents.
  • Distribution : We have features so that the published document can be exported to a format that can not be easily altered. The original master copy of the document is never used for distribution other than archiving.

  • Security : Document security is vital in many document management applications. Compliance requirements for certain documents can be quite complex depending on the type of documents. Our document management systems have a rights management module that allows an administrator to give access to documents based on type to only certain people or groups of people.
  • Workflow : Workflow depends on the environment the electronic document management system is applied to. Manual workflow requires a user to view the document and decide who to send it to. Rules-based workflow allows an administrator to create a rule that dictates the flow of the document through the organization.

  • Collaboration : In its basic form, a collaborative EDMS should allow documents to be retrieved and worked on by an authorized user. Access is blocked to other users while work is being performed on the document.
  • Searching : Documents can be searched using various attributes of the document content

  • Publishing : It involves the procedures of proofreading, peer or public reviewing, authorizing, printing and approving etc. Those steps ensure prudence and logic thinking. The published document is in formats that are not easily altered without a specific knowledge or tools, and yet it is read-only or portable.

Onsite or Offsite Scanning ?

We give our clients the flexibility of choosing where we manage the data. Following are the options available :

  • On Site Scanning : LILA understands that some documents contain sensitive information and cannot leave the site. If a separate room with outlets, furniture and a locked door is available then we will supply all of the required equipment and an operator to scan your documents.
  • Off Site Scanning : This would involve picking up the documents from your site and processing at our site.

E-Records Delivery : After scanning and digitization of documents delivery of electronic records can be made available to the clients by means of CD’s, Pen Drives, Web based access, FTP transfer as per clients instructions and mutual understanding.

Our solutions increase efficiencies, and reduce costs, permitting clients to invest more of their time and budgets in their core business activities. Our document scanning services permits you to remove many filing cabinets and saves money as well as space.
